Introduction

You can maintain details about all of your vendors, suppliers and subcontractors.  This includes preferred vendor status and contact information as well as all contracts and purchase orders as well as creditors invoices.  You can also maintain all pecuniary interests that your project team may have, to assist in deciding if they should be involved in tender evaluations.

You can maintain details about your tenders and the responses that each vendor has submitted and relate these to your project's requirements.

You can maintain details about performance assessment information about vendors for subsequent use in evaluating their overall performance.

You can monitor timesheets related to creditors invoices related to purchase orders and purchase orders related to contracts.

Each of the above listed items consists of multiple PMComplete™ functions that allow you to add new records, change, replicate, delete and list existing records, chart, enquire and report on records, add an unlimited number of soft copy document attachments to records, classify records, monitor their status through their life cycle, sort the displays into a variety of sequences, print reports, drill-down on reports and e-mail these reports.

Project Requirements Management

You can record details about your requirements.  This can take the form of just a list of requirements or it can go down to the level of recording individual components with separate screens for application systems, processes, procedures, entities, attributes, functions, actors, use cases, system interfaces, data conversions and assumptions.

You can record cost, time and function point count estimates for each of the above.  You can also record the basis of your estimates.   

Quotation and Tender Management

You can record details about the tenders that you issue and/or respond to.

You can record details about your quotations and proposals.

You can record details about vendor responses to the requirements specified in your tenders.

You can record details about your assessments of each vendor.   

Purchase Order Management

You can record details about all purchase contracts that you enter into.

You can record details about all purchase orders that you raise for vendors or receive from Clients.  You can relate each purchase order to a contract.

Purchase orders can be sent by way of WorkFlow to each person's manager for approval.

You can monitor the draw-down against contracts by purchase orders and the draw-down against purchase orders by both creditors invoices and debtors invoices on the one report.

You can monitor all open purchase orders, creditors invoices and debtors invoices all on the one report.   

Payment Management

You can record the actual date of creditors invoice payment.  The Financial Transactions Requiring Attention report will print a simple aged trial balance (among other things) displaying the age of unpaid creditors invoices.

You can record details about creditors invoice payments.  You can do this on an ad hoc basis (ie, as they are received) or you can enter the planned progress payments at the start and then just modify their actual dates and values as they are received.

You will be given a warning if a vendor attempts to submit more than one creditors invoice for the same timesheet.   

Performance Indicator, Metric and SLA Management

You can record details about performance indicators, metrics and SLAs.  These can be for service level agreements against contracts but can also be anything you wish to monitor as a performance indicator, metric or SLA.

You can record values against each performance indicator, metric or SLA as they vary over time.

You can monitor performance indicator, metric or SLA values by way of charts and reports.   

Supplier Relationship Management (SRM)

You can record details about your real and potential vendors.  Vendors may also be Clients (and vice versa).

You can record details about the type of relationship that you want with each vendor (eg, preferred vendor, strategic or commodity).

You can record details about your vendor, supplier and subcontractor assessments.

You can monitor your portfolio of vendors.

You can monitor the performance of each contract.

You can closeout contracts.

You can send e-mail-based newsletters to your vendors.
