Portfolio and Programme Management
Introduction
PMComplete™ is the complete Portfolio and Programme Management solution addressing:
- Alignment with Business Objectives Management
- Project Outcomes and Benefits Management
- Portfolio/Programme Stakeholder Management

- Projects in Portfolios/Programmes Management
Each of the above listed items consists of multiple PMComplete™ functions that allow you to add new records, change, replicate, delete and list existing records, chart, enquire and report on records, add an unlimited number of soft copy document attachments to records, classify records, monitor their status through their life cycle, sort the displays into a variety of sequences, print reports, drill-down on reports and e-mail these reports and view a check list of issues to address.
You can use Portfolios/Programmes to group multiple projects together. These could be:
- Projects that have some form of common characteristic (eg, they are part of a Programme Director's project portfolio), and/or
- They could be a main project and a series of sub-projects, and/or
- They could be a main project and a series of spin-off activities (eg, project change and variation requests, defects, work orders and service calls) all for the same Client, and/or
- They could be a series of non-related projects being undertaken for a single Client
PMComplete™ doesn't differentiate between a portfolio (defined as a collection of projects that have a common characteristic) or a programme (defined as a collection of projects that have common outcomes and benefits and usually have inter-dependencies) - they are just a collection of projects to PMComplete™ and the same functionality applies to each.
Alignment with Business Objectives Management
You can record details about business objectives. These can vary over time (eg, they may change on an annual basis). Business objectives can also be assigned a weighting (eg, this year, increasing sales revenue is more important than reducing costs or "Cash is King" or "Go for Growth" or "Drive out Costs" or "Organisational Growth" or margin is more important than sales revenue).
You can record details about a project's alignment with business objectives.
You can print a company objectives map report.
You can display a chart that displays how well a project (or a portfolio/programme) aligns with these business objectives.
You can display a dashboard that displays how well all projects in a portfolio/programme align with these business objectives.
You can display a dashboard that displays the status of all projects in a portfolio/programme as well as which business objectives are at risk if each project goes off-track.
Project Outcomes and Benefits Management
You can record your project's business case for subsequent retrieval and use.
You can record details about desired project outcomes.
You can record details about benefits that are likely to accrue if a project (or a portfolio/programme) is executed correctly. You can record details about and monitor budget, forecast and actual benefits realisation.
You can record the current value of a performance indicator, metric or SLA that can be used as a baseline measurement for each benefit. You can record a periodic value for that same performance indicator, metric or SLA to allow you to monitor its improvement over time.
You can print a project cost/benefit analysis report. This report displays both baseline and actual values for monitoring purposes.
You can plan and attend your project's Benefits Realisation Review (BRR).
Portfolio/Programme Stakeholder Management
You can record details about your stakeholders derived from your assessments of them. You can record details about individuals and/or of groups of stakeholders.
You can record details about people's expectations.
You can record separate satisfaction ratings for your Sponsor/Client, your manager, your project team, your company and your vendor. You can display a chart which displays these 5 satisfaction ratings as they change over time.
You can record priorities for projects to allow them to be ranked. A freestanding project can be assigned a priority. A project within a portfolio/programme can be assigned a different priority.
You can display projects on the portfolio dashboard sorted into either of the above priority sequences as well as sorted by NPV, Payback Period, ROI, TCO or weighted alignment.
Projects in Portfolios/Programmes Management
A project can occur in an unlimited number of portfolios and programmes.
You can record details about the inter-dependencies between projects. This can take the form of project activity timing dependencies and constraints (eg, task A in project X can't start until task B in project Y has been completed) as well as details about system interface dependencies.
You can record details about funding pools and the allocation of funds from these pools to specific projects.
When requesting reports, everywhere a project can be specified, so too can a Portfolio/Programme. This means that every PMComplete™ project report (there are more than 80 of them) doubles as a portfolio/programme report as well. If a portfolio/programme report is requested then each project is listed separately with totals for the portfolio/programme displayed at the end of the report.
This becomes even more powerful when you create a portfolio/programme that includes all projects. In this case, you now have over 80 reports that operate at the Practice level.
You can print a Gantt chart displaying a summary of each project within a portfolio/programme.
