Collaboration Features
PMComplete™ allows you to collaborate on project and other activities to whatever degree you wish with your vendors, suppliers, subcontractors and Clients.
PMComplete™ has a complete Wiki built-in.
Every PMComplete™ function and all data held within PMComplete™ is available for collaboration in real-time from anywhere at any time. As well as making the rich functionality of PMComplete™ available you can share documents through PMComplete™'s sophisticated document management sub-system.
Workgroup security allows you to define which data your partners can access.
User Group security allows you to define which PMComplete™ functions and reports your partners can use.
User security allows you to define if your partners are Clients or vendors, thereby controlling if they can see cost and profit information.
You can collaborate in real-time by using a combination of PMComplete™ and Microsoft® NetMeeting.
The "Send E-Mail to Distribution List" function allows you to send the same e-mail (and optionally, an attachment) to everyone who is:
- Working on a specific project
- On a specific list that you have defined (eg, all prospects, all suspects, all Clients, all staff, all vendors, etc)
- Working for a specific company
- Working in a specific organisation/business unit
- Performing a specific role
- Working at a specific location
- On a document distribution list
- Working on-site
- Attending a training course
- Attending a seminar, workshop, exhibition or conference
- Attending a review or inspection
- On a generic meeting participant list
- Attending a specific meeting
This powerful feature leverages the effort that you have already put into creating these lists by saving you the time required to also create an e-mail distribution list.
Multiple Vendors Scenario
Scenario
A project is being run by a Client organisation with components being sub-contracted or outsourced to a number of vendors.
Solution
PMComplete™ is set up by the Client.
Each subcontractor is given access to PMComplete™.
Client staff can update their aspects of the project (eg, overall progress, task assignment and activity, overall status information as well as manage action items, issues and risks, and make payments to the subcontractors).
For this specific project, each vendor can be given the ability to see their work assignments and to update these, as well as raise invoices for work performed.
Optionally, each vendor can use PMComplete™ themselves to manage their other business and other projects without the Client having access to this data (unless they want the Client to have this access).
Multiple Clients Scenario
Scenario
A services company runs projects and sells many products to many Clients.
Solution
PMComplete™ is set up with security such that each Client only has access to their own data (eg, projects, service calls, problems, complaints, change requests, work orders, etc) but none relating to other Clients.
The services company is set up with security that allows them to access all data from all Clients.
The specific PMComplete™ functions and reports that each Client can use can vary from one Client to another (and even one PMComplete™ System User to another) (eg, one can access action items, but another cannot).
Contract Staff Scenario
Scenario
A company retains contractors when it has project staffing peaks or specialist skill requirements that permanent staff numbers can't fill.
Solution
The solution to this scenario will vary depending upon how "close" you want to get to your supplying agencies.
You can define your personnel requirements in PMComplete™ and then e-mail these to one or more agencies.
Alternatively, you can give "preferred" agencies access to your "Personnel Requirements" and allow them to access this data directly.
Multiple Physical Locations Scenario
Scenario
A company runs projects where project team members can reside in a variety of physical locations (including, working from home, other company offices, Client site offices, interstate and overseas).
Solution
Each project team member is given access to PMComplete™ as if they were working in the one office. Because PMComplete™ operates over the Internet, it doesn't matter where they reside.
Documents can be shared, miscommunications reduced and status reporting becomes real-time when you use PMComplete™ as your collaboration tool.
24-Hour Service Desk Scenario
Scenario
A company provides Service Desk services for a variety of products through 3 service centres located in Sydney (Australia), Chennai (India) and Frankfurt (Germany).
Solution
PMComplete™ operates over the Internet, Service Desk Agents can sign in from anywhere in the world and work on Service Calls as they occur. Work started on a Service Call by one Service Desk Agent in one location can be continued by another Service Desk Agent in another location (provided each Service Desk Agent is disciplined enough to record progress in PMComplete™) thereby providing a "follow-the-sun" Service Desk support service to its Clients anywhere in the world.
PMComplete™ allows you to mix any of the above scenarios in any combination.
