Enterprise Project Management (EPM) Overview
PMComplete™ provides the complete Enterprise Project Management (EPM) system to support enterprises that manage many projects concurrently.
PMComplete™ provides the following features and benefits:
Multiple Concurrent Projects
- Support for those enterprises that manage more than one project concurrently.
- Support for the concept of "portfolios (or programmes) of projects". This is sometimes known as "Project Portfolio Management (PPM)".
- This allows Programme Managers (those people who manage more that one related project concurrently) to focus on the top level performance of their projects, leaving the day-to-day running to the individual Project Managers.
- A project can occur in more than one portfolio concurrently (eg, "All Australian Projects" as well as "All IT Projects" as well as "All Joe Bloggs' Projects" as well as "All Financial Projects" as well as "All External Projects").
- Visibility (both high level and low level) into ALL project's an enterprise has (including completed, active and future).
- This leads to quickly identifying duplicated and non-strategic projects.
- It also highlights the inter-dependencies between projects.
Links to Business Objectives
- Ability to define overall business objectives and business improvement initiatives.
- Support for linking projects to business objectives.
- This results in being able to ensure that projects either stay aligned to the business strategy or are killed off quickly.
- Support for prioritising projects.
- This allows the enterprise to ensure that not only is it efficiently managing projects, but also that it is being the most effective in its running of the right projects and in the right sequence.
Consistent Standards and Processes
- Support for a consistent set of standards and processes that are best practice in areas such as:
- Project chart of accounts for recording costs and revenues
- Accounting processes (ie, for contracts, purchase orders, invoices and payments)
- Inter-project comparisons
- Success measurement
- Benefits realisation
- Work assignment
- This allows a consistent set of standards and processes to be applied to all initiating, planning, controlling, executing and closing of projects which, in turn, leads to improved staff morale, skills and performance.
- It also allows the enterprise to "ratchet up" its skills and experience to best practice when inexperienced staff use PMComplete™.
- Allows for easy compliance checking across all projects.
- Just by providing improved project visibility, both cost and schedule performance will be improved.
- Will reduce the amount of non-productive time required to aggregate and report on project performance.
Project Performance Reviews
- Facilitate as well as standardise the project performance reviewing and reporting process.
- This includes not imposing additional clerical effort on project team members to prepare reports and reviews as well as being able to display reports "as is" through a data show projector so that all review, inspection and assessment participants can see the same status, regardless of their location and allowing Programme Management Office practices to be applied.
- Improved communications with stakeholders.
The Projectised Enterprise
- Support for those enterprises where "everything is run as a project" and "management by projects".
- This results in a consistent view of the status of all projects across the whole enterprise.
- Roll-up reporting allows Programme Managers to display any report or chart a Project Manager can, but for all projects in a portfolio (eg, being able to see all risks for a portfolio).
Multiple Project Types
- Support for all types of projects including infrastructure (eg, telecommunication, dam, road, port and railway), capital (eg, factory, plant, building and office fitout) and business (eg, information system development, business process improvement, office relocation and enterprise transformation) projects.
- This means the same tool can be used across the whole enterprise.
Staff Management
- Resource management can monitor (by way of Gantt charts) who is assigned to which projects and when, as well as interrogate the skills repository and the résumés repository.
- This allows for resources to be allocated strategically rather than on an ad hoc basis.
- Unaccounted for and under-utilised resources can be quickly identified.
- Resource utilisation will be improved.
- Resources assigned to billable work (as opposed to internal work) can be measured and improved.
- Timesheets can be used to record time spent on projects in a consistent manner.
- Personal objectives can be set and matched to business objectives.
- Resource churn is reduced because morale is improved by providing staff with improved tools that are used by the whole organisation.
- Project team members are consistently provided with feedback by way of dashboards, scorecards and traffic lights about their performance as well as what they need to do.
New Business-Getting
- Customer Relationship Management allows a complete overall view of both projects and Client to be quickly obtained.
- Sales Opportunities can be recorded and monitored so that the sales funnel/pipeline can be easily managed and assessed.
- Customer revenue and profit contribution can be viewed graphically.
Office Administration
- System security is provided at a number of different levels.
- Workgroups allow groups of people (eg, "departments") to only access their projects.
- WorkFlow allows for automation of transaction approval processes.
- Notifications allows occasional System Users to be informed (by way of e-mails) of updates to their activities held within PMComplete™.
- Library functionality allows for reference material to be catalogued and borrowed.
- Parking spaces can be allocated on a fixed or shared basis.
- Key holders can be monitored.
Using an EPM system is a necessary component of being assessed as SEI Capability Maturity Model (CMM) Level 2 and above.
Put simply, PMComplete™ decreases costs, increases revenues, improves productivity and reduces cycle times.
